What VYV collects about you, why, who else handles it, and how to exercise your rights.

This policy applies to the personal information VYV collects about you: when you visit our websites, contact us, subscribe to our newsletter, buy or use our products, or take part in our forum. VYV is a Montréal company with subsidiaries in the United States and the United Kingdom, and this policy applies to each of them.
The person in charge of the protection of personal information at VYV answers questions about this policy, receives requests to access, correct or erase your information, and handles complaints.

The site itself sets no cookies, and has no account to create and no form to fill in. Like every web server, ours receives from each visitor an IP address, the date and time, the page requested and the name of the browser. This information is kept in the server’s logs for ten days at most, to run the site and protect it from attacks.
To measure its audience, the site uses Matomo, installed on our own server. It counts the pages visited and the downloads, without cookies, and shortens your IP address before it records the visit, so that the statistics do not identify you. They are shared with no one.
The site is delivered through Cloudflare, which receives the same technical information in order to serve and protect it. To protect the site, against automated traffic for example, Cloudflare may place cookies that are strictly necessary for that purpose; they are not used to follow you from one site to another.
Some pages of our Knowledge Base offer videos hosted by Vimeo, a company based in the United States. Nothing is sent to Vimeo until you choose to play a video: the page shows an image kept on our server, and Vimeo’s player loads only when you click it. From then on, Vimeo receives your IP address, information about your browser and device, and the address of our site, and may record how you use the player. We ask Vimeo not to set cookies to follow you; it may still place a few cookies needed to secure its player, and your browser may send it the Vimeo cookies it already holds. Vimeo handles this information under its own privacy policy.
If you switch the site to its dark theme, that choice is stored in your own browser and is never sent to us.
Our support portal runs on Jira Service Management, a service of Atlassian. To send a request through it, you give your email address, and the portal creates a customer account under that address, which lets you follow your request. Whether you reach us through the portal, by email or by phone, we receive what you choose to give us: usually your name, your email address, your company and the content of your request. We use it to answer you and to follow up. The portal is Atlassian’s site, and it carries its own notice about cookies.
We keep your email address, and your name if you give it, to send you the newsletter. It is sent today through Mailchimp, whose servers are in the United States. It is moving to Ghost, which runs on our own servers and will send it through Mailgun, in its European region. We see whether a newsletter was opened and which of its links were followed, to learn what interests our readers. Every newsletter carries a link to unsubscribe. The newsletter’s website, news.vyv.ca, measures its audience with Matomo, on our own server and without cookies.

We collect your information with your consent, and you can withdraw it at any time by writing to the person in charge. Some products and services cannot be provided without certain information, and we may have to keep some information to meet a legal obligation.
Within VYV, only the employees and consultants who need your information to do their work.
We never sell your personal information. We share it only as needed:
Some of these providers, and our subsidiaries, keep or process information outside Québec, notably in the United States, the European Union and the United Kingdom. Atlassian chooses the region that hosts our support portal’s data, and may change it.
Your information is kept on our own servers or with the providers named above, and access to it is limited to the people who need it. We choose providers whose security practices are at least as strict as ours.
Only as long as we need it to serve you and to meet our legal obligations. The newsletter keeps your address until you unsubscribe. When information is no longer needed, we destroy it or make it anonymous.

When this policy changes, the new version is published on this page with the date it takes effect, and a notice on our website says what has changed.
